How To Make Sure That Your Employees Love Their Jobs

1. Communicate! Communicate! Communicate!

2.  Respect for each other is critically important.

3. Have systems in place – make sure the documentation and processes are ethical and will protect both the ECD center and the employees.

4. Always maintain your employee’s rights.

5. Don’t deviate from labour procedures. There are no shortcuts.

6.  Know the facts – South African labour practices are liable to change and disgruntled employees can cause financial havoc.

Step 1 – Human Resources Policy

Download and edit the Human Resources Policy. It details the recruitment structure, promotes good relationships, ensures compliance with legislation, makes staff responsibilities clear and is a set of guidelines for managers.

Step 2 – Interviewing and Vetting

Place an advertisement for the position on your social media. Be clear on the requirements of the job, qualifications, and necessary experience. Go through the CVs that you receive and make a shortlist of qualifying candidates to invite to an interview.

Step 3 – Contract, Codes, and Agreements

Start the onboarding procedure with the legal documents, job descriptions and appointment letters. go through performance evaluations and manage leave. 

Issue a Data Subject Letter of Consent so that you can process the employee’s Personal Information legally.

Step 4 – Employee Health and Safety

Health and Safety overlaps with all the management categories at your ECD center and this particularly includes Human Resources.

Add the new employee to the relevant health and safety registers.

Step 5 – SACE

Qualified ECD teaching practitioners with L4 must provisionally register with SACE and those with L5 must also be on their CPTD system. Here are the PDFs:

Step 6 – Leave

Managing leave can be quite tricky if you do not have a payroll package. These templates consist of a leave tracker spreadsheet and an Application for Leave form.

Read the Leave Guidelines well so that you understand the sick leave cycle and all the other types of legislated leave.

Step 7 – Performance Evaluations

During an employee’s tenure at your center, each year you’ll conduct performance evaluations which are important for the employee’s professional and personal development, and to ensure that each person’s performance at work is the best that it can be.

Step 8 – Exiting

When an employee leaves, they must be handed a Certificate of Service. Additionally, in light of the POPI Act, the Responsible Party (you) must protect the personal information of Data Subjects in your center. To ensure that the PI remains safe and protected it is useful to conduct an exit interview.

Occupational Health and Safety

Even if you employ only one member of staff at your ECD center, then the Occupational Health and Safety Act, No. 85 of 1993 applies.

The Department of Labour does inspections of medium and small businesses and they will call or email to make the appointment. During the visit they will want to see your OHS File and an example of a staff members file.
